Find the Right Orange County Public Record Without Searching the Wrong Office

Deeds are not court cases. Court records are not property appraisal records. Police reports are not jail records. The fastest Orange County public records search begins by choosing the office that actually maintains the record.

Use this guide to search deeds, mortgages, liens, court cases, building permits, property records, current inmate information, incident reports, marriage licenses, birth/death certificates, and county-government records through the correct official source.

Start with the record—not the agency name

Which Orange County Office Has the Record You Need?

“Public record” is an umbrella term. Orange County does not keep every public record in one database. Use the record type below to route yourself to the correct custodian.

Deed, mortgage, satisfaction, lien, Notice of Commencement

These are recorded legal documents in the county’s Official Records.

Orange County Comptroller
Civil, criminal, traffic, family or probate court case

Search case information through my eClerk.

Orange County Clerk of Courts
Property owner, Parcel ID, assessment, exemptions, sales

These are property-assessment records rather than recorded deeds or court files.

Orange County Property Appraiser
Building permit, inspection or development case

FastTrack contains permit, inspection, contractor, property and development searches.

Orange County FastTrack
Current inmate, booking, charges or bond

The current jail database is maintained by Orange County Corrections—not the Sheriff’s Office.

Orange County Corrections
Sheriff’s incident report / police report

Incident-report requests can be submitted to OCSO.

Orange County Sheriff’s Office
Birth or death certificate

Vital certificates are issued through Florida’s Department of Health system.

Florida Department of Health
County department emails, reports, administrative files

Use Orange County Government’s general Public Records Unit when the record is not already in a specialized system.

Recorded legal documents

Search Orange County Official Records for Deeds, Mortgages & Liens

The Orange County Comptroller’s Official Records Department records, indexes and archives the legal documents placed in Orange County’s official record.

Real estate

Deeds & Mortgages

Search recorded transfers, mortgages and mortgage satisfactions by party name and recording information.

Property claims

Liens

Liens are indexed using party names and legal descriptions. The Comptroller does not issue a blanket letter stating that no liens exist.

Construction

Notices of Commencement

Recorded Notices of Commencement can also be researched in Official Records.

Judgments

Final Judgments & Orders

Recorded judgments and satisfactions can be searched by name and recording date.

Residency

Declarations of Domicile

Recorded Declarations of Domicile are part of Orange County’s Official Records.

HOA research

HOA Documents

Recorded homeowner-association documents, bylaws and regulations can appear in Official Records.

How to search Official Records

1

Start with the person or entity name

Deeds, mortgages and liens are indexed using grantor, grantee or party names.

2

Use a date range when you know approximately when the event occurred

Recording date can help distinguish similarly named people and reduce the number of results.

3

Confirm the document type

A deed, mortgage, satisfaction and lien answer very different questions even when the same owner name appears.

4

Open the recorded image

The recorded document contains the actual legal text, signatures, legal description and recording information.

The Comptroller allows Official Records document images to be viewed and printed online. If you need formal proof, purchase a certified copy instead of relying on a screenshot.
Search the actual Orange County Official Records index

Use this for deeds, mortgages, satisfactions, liens and other recorded legal instruments.

Court cases

Search Orange County Court Records Through my eClerk

The Orange County Clerk of Courts provides remote public access to many court cases through my eClerk. Search by case type, name, business, case number, citation number or date range.

Case information Approx. 1990-present Online docket information is available for most cases from approximately 1990 forward.
Documents Mostly 2009-present Documents are available from 2009 forward for most case types.
Search result limit First 500 results Narrow a broad name search rather than assuming the first 500 results represent everything.
Criminal

Criminal Cases

Search case filings, docket activity and available documents. An arrest report and court case are not the same record.

Civil

Civil Lawsuits

Includes civil disputes, judgments and other civil filings within the Clerk’s court-record system.

Family

Divorce & Family Cases

Search family cases and available docket information. Some documents or information can be restricted.

Probate

Probate Cases

Probate case information is one of the public search categories provided by my eClerk.

Traffic

Traffic Cases

Search by case or citation criteria and review available docket information.

Restricted

Not Every Case Is Public

Juvenile, sealed, confidential and many mental-health records have access restrictions. No public search result does not always prove that no case exists.

Property research

Property Records and Building Permits Use Different Systems

If you are researching a house or parcel, you will often need more than one Orange County database. The Property Appraiser explains the parcel and assessment; FastTrack explains permitting and inspection activity; Official Records contains the recorded legal documents.

Step 1 OCPA Property Record Owner, Parcel ID, values, exemptions, sales and property features.
Step 2 Official Records Deed, mortgage, liens and recorded legal documents.
Step 3 FastTrack Permits, inspections, development cases and contractor research.
Step 4 Tax Collector Property tax billing, payment and delinquency status.

Certificates

Marriage, Birth & Death Records Have Different Custodians

Orange County marriage license copies

Orange County has an unusual historical split in marriage-license copy custody. Use the date the license was filed to decide which office to contact.

Before March 1, 1998 Clerk of Courts Request the marriage license copy from the Clerk.
March 1, 1998-June 30, 2017 Orange County Comptroller These marriage licenses are available through Official Records.
After June 30, 2017 Clerk of Courts Request the certified license from the Clerk’s Records Division.

Records not already searchable

How to Make an Orange County Public Records Request

Use Orange County Government’s Public Records Unit for county records that are not already handled through a dedicated portal such as Official Records, my eClerk, OCPA or FastTrack.

1

Describe the record—not your reason for wanting it

Identify the department, subject, date range, names, address, project number or other detail that will help the custodian locate the records.

2

Keep the request specific enough to search efficiently

“All records about a property for 20 years” can require extensive searching. A narrower record type and date range can reduce processing effort.

3

Submit it to the Public Records Unit

Orange County Government accepts requests by email, mail/in person, phone and fax.

4

Watch for a cost estimate on large requests

Orange County may charge for duplication and for extensive use of information technology or staff time. A deposit can be requested before extensive work begins.

5

Inspect before buying copies when that solves your need

Florida public-record law generally provides access for inspection and copying of non-exempt public records. If you only need to verify information, a paid certified copy may be unnecessary.

Copies & certification

Free Online View vs. Certified Public Record Copy

If you are researching a property or court case for yourself, viewing an online image may be enough. If a lender, court, government agency or legal transaction requires proof, ask whether a certified copy is required.

Comptroller Official Records $1/page

Standard copy fee for Official Records.

Official Records certification + $2

Certification fee per document.

Clerk court record $1/page

Plus $2 certification per court document when required.

Troubleshooting

Why an Orange County Public Record Search Can Return Nothing

Wrong database

You searched court records for a deed

Court records and Official Records are maintained in separate systems. Identify the document type before changing search terms.

Name problem

Owner or party name changed

Search maiden names, prior names, businesses, trusts or LLCs when the event may have been indexed differently.

Date issue

Record is older than normal online coverage

Some court docket/document coverage predates complete remote availability. Request the record from the Clerk when needed.

Restricted access

Record exists but is confidential or exempt

Juvenile, sealed, mental-health, protected vital information and other exempt records may not appear to a general public user.

Jail search

Person was already released

Orange County’s current inmate database removes people after release. Historical Corrections information requires a records request.

Permit search

Address format is not matching

Try Parcel ID or the dedicated FastTrack property search when a street-address search fails.
